Teams (How to) Change an Existing Meeting to a Teams Meeting

This article will provide instructions on how to change an existing (already scheduled) meeting into a Teams meeting.

Changing an Existing Meeting to a Teams Meeting. 

There may be an instance where you need to change a meeting that you already have scheduled into a Teams meeting. To convert an in person meeting to a Teams meeting:

From your Outlook Calendar in Office 365 Online:
  • Go to your calendar.
  • Click on the meeting that you wish to change.
  • In the pop up window click the Edit button. 
  • In the bottom right click the More options button. 
  • Next to the location information there is a toggle button titled Teams meeting
  • Toggle the Teams meeting button on. (It is on if the bubble is to the right and shaded with your calendar color)
  • Press the Save button in the top left corner of your meeting window. 
  • Your meeting is now set as Teams meeting, and participants will be able to join directly from their calendar. 
From Outlook Calendar in the Desktop App (Windows):
  • Go to your calendar.
  • Double click on the meeting that you wish to change.
  • In the toolbar at the top of the meeting window, press the Teams Meeting button. 
  • Click the Send Update button. 
  • Your meeting is now set as a Teams meeting, and participants will be able to join directly from their calendar.  
From Outlook Calendar in the Desktop App (Mac):
  • Go to your calendar.
  • Click on the meeting that you wish to change.
  • Click the two arrows in the top right corner of the pop up window to expand the meeting details. 
  • In the toolbar at the top of the meeting window, press the Teams Meeting button. 
  • Press the Send Update button. 
  • Your meeting is now set as a Teams meeting, and participants will be able to join directly from their calendar. 

Joining a Teams Meeting:

From your Outlook Calendar in Office 365 Online:
  • Go to your calendar. 
  • Click on the meeting you wish to join in Teams. 
  • Click the button to Join Teams meeting.
  • Accept the prompt to launch the Teams desktop app. 
  • Once you are brought to the Teams app you will be prompted to adjust your video and audio settings. 
  • Once your settings are specified, click the Join now button. 
  • You will now be part of a Teams meeting. 
From your Outlook Calendar in the Desktop App (Windows):
  • Go to your calendar.
  • Click on the meeting you wish to join in Teams
  • In the toolbar click the Join Teams Meeting button. 
  • This will open in Teams, and you will be prompted to adjust your video and audio settings. 
  • Click the Join now button. 
  • You will now be part of a Teams meeting. 
From your Outlook Calendar in the Desktop App (Mac):
  • Go to your calendar.
  • Click on the meeting you wish to join in Teams
  • Click the Join button in the location details. 
  • This will open online, but you will be prompted to open the desktop app. 
  • Accept the prompt to launch the Teams desktop app. 
  • Once you are brought to the Teams app you will be prompted to adjust your video and audio settings. 
  • Once your settings are specified, click the Join now button. 
  • You will now be part of a Teams meeting. 
From your Teams Calendar in the Desktop App:
  • Click on the Calendar tab in the navigation bar on the left. 
  • Locate the meeting on your calendar. 
  • Click the Join button. 
  • You will be prompted to adjust your video and audio settings. 
  • Once your settings are specified, click the Join now button. 
  • You will now be part of a Teams meeting.
