Office 365 - Best Practices for UWC Employees Joining UWM

This article covers recommended best practices for UWC employees who are in the process of transitioning from their UWC Office 365 account to a new UWM Office 365 account.

Using your UWC O365 and UWM O365 accounts concurrently

Internet Explorer / Edge:
  1. Open Internet Explorer to log into one Office 365 account at portal.office.com.
  2. Simultaneously press the Ctrl, Shift, and P keys (Ctrl+Shift+P).
  3. After the InPrivate Browsing window opens, log into your other Office 365 account.
Mozilla Firefox:
  1. Open Mozilla Firefox to log into one Office 365 account at portal.office.com.
  2. Simultaneously press the Ctrl, Shift, and P keys (Ctrl+Shift+P) .
  3. After the new Private Browsing window opens, log into your other Office 365 account.
Google Chrome:
  1. Open Google Chrome to log into one Office 365 account at portal.office.com.
  2. Simultaneously press the Ctrl, Shift, and N keys (Ctrl+Shift+N).
  3. After the new incognito window opens, log into your other Office 365 account.
Safari:
  1. Open Safari to log into one Office 365 account at portal.office.com.
  2. Simultaneously pressing Control, Option, and the P key.
  3. After the new Private window opens, log into your other Office 365 account.

Alternatively, you can use two different browsers (e.g., Chrome and Firefox, or Chrome and Internet Explorer) for each of your O365 accounts.


Sharing your UWC O365 calendar with your UWM O365 account

To facilitate the ease of use of using a single calendar in your day-to-day business, as well as to aid the transition to solely using your UWM O365 account, you can share your UWC calendar with your UWM calendar. This will allow you to view your UWC calendar within your UWM O365 account.

1. First, go to your UWC O365 calendar in Outlook on the web and under Your calendars, right-click on your primary Calendar and select Sharing permissions:



2. Once the Share this calendar: Calendar screen appears, enter your UWM account address in the Enter an email address or contact name box. Then, ensure that the drop-down is set to the Can view all details permission level and click Share:



3. Finally, go to Outlook on the web in your UWM O365 account and find the You're invited to share this calendar message from your UWC account. Then, click Accept and view calendar:




Configuring a forward from your UWC e-mail to your UWM e-mail

To facilitate the ease of use of using a single email account in your day-to-day business, as well as to aid in the transition to solely using your UWM O365 account, you can configure an automatic forward of all messages received by your UWC e-mail address to your UWM e-mail address.

1. From Outlook on the web in your UWC O365 account, select the gear icon in the upper-right corner of the screen and select Mail from the My app settings section menu:



2. Once the Options pane appears, under the Mail heading, expand the Accounts heading and click Forwarding:



3. Click the Start Forwarding radio button and then enter your UWM email address in the Forward my email to: box and then click Save:



Your UWC calendar will now be viewable within your UWM calendar.


Configure an automatic reply on your UWC e-mail

Consider configuring an automatic reply for your UWC account that informs all senders that they should begin directing their messages to your UWM e-mail address.

1. From Outlook on the web in your UWM O365 account, select the gear icon in the upper-right corner of the screen and select Automatic replies:



2. Once the Automatic replies screen appears, click the Send automatic replies radio button and then enter the text for your reply in the text box. If you want to send automatic replies to senders outside of UWC, also check the Send automatic reply messages to senders outside my organization and enter the additional text for your reply for external senders in the text box as well. Once you are done, click OK:
