Setting up and using print codes with departmental printers in macOS

The first set of instructions are for Ricoh devices only.  For Canon devices, click here

To configure print codes on a Ricoh device
  1. With a document open, open the print dialog by selecting File>Print or using the keyboard shortcut CMD+P.  If presets are not visible, click the Show Details button

  2. Select the Printer Options drop down menu menu and click on Job Log.  Check the Enable User Code box and enter your user code in the field below

  3. Click the Presets menu and select Save Current Settings as Preset...

  4. Name the preset something that will be easily read and understood.  Unless your department uses user codes with two identical printers, leave the Only this printer option selected

  5. This preset can now be used as a template to create other presets.  To add a preset with additional options, simply adjust the settings as desired and choose Save Current Settings as Preset...

To setup your print codes/Department ID on a Canon device:

  1. Navigate to your Applications folder and open Self Service
  2. Run the L&S-Canon Printer Drivers policy by clicking the gray Install Canon Drivers button
  3. Run the L&S-Map Departmental Network Printers policy by clicking the gray Map Network Printers button
  4. Navigate to your Applications folder, open System Preferences and launch the Printers & Scanners preferences pane
  5. Highlight your departmental printer and click the Open Print Queue button
  6. Click Settings, select the Utility tab and click the Open Printer Utility button

  7. From the User Management: dropdown, select Department ID Management
  8. Enter your department ID in the Department ID field and click Save Settings
