Canvas Grades - How do I export grades from Canvas to PAWS via D2L?

This article explains how to import final grades from Canvas to D2L to facilitate automated import into PAWS.

This article provides steps and tips to importing final grades from Canvs to D2L to facilitate automated import into PAWS. To do this, you will export grades from your Canvas course to the matching D2L course. This will be accomplished by using Excel and pre-made spreadsheet templates.

Overview

To use D2L as a bridge from Canvas to PAWS, you will export grades from your Canvas course to the matching D2L course. This will be accomplished by using Excel and pre-made spreadsheet templates. This article provides steps and tips to importing final grades from Canvs to D2L to facilitate automated import into PAWS. To do this, you will export grades from your Canvas course to the matching D2L course. This will be accomplished by using Excel and pre-made spreadsheet templates.

Before you begin

  • Does your course have enough students to justify the effort? These instructions best serve large classes of more than 50 students. Otherwise, consider manually entering grades into PAWS and skipping all steps found here.
  • Ensure you can download files from the internet to your computer, and have installed Microsoft Excel.
  • Ensure your final grade in Canvas is calculated correctly. D2L will not be used to perform any grade calculations.
  • Are you using points or percentages for your final grade in Canvas? If using points, make note of the maximum number of points possible for your grades.
  • Do multiple courses in Canvas correspond to one course in D2L? Export data from each Canvas course, then create multiple D2L imports.
  • Does one course in Canvas correspond to multiple courses in D2L? Export data from one Canvas course, then use the same D2L import in each D2L course site.

Part 1: Export your Canvas grades

Follow Canvases instructions for exporting grades from your Canvas course.The export will be downloaded to your computer. Make note of the download location as you will need to copy data from the file using Excel..

Part 2: Manipulate data

Next, you will use a template to move information from Canvas into D2L.

Part 2A: Download and open files

  1. Download this D2L Final grade import template. Once downloaded, open the file using Microsoft Excel.

  2. Open the previously downloaded Canvas export file in Microsoft Excel.

Part 2B: Copy data

  1. From the Canvas export spreadsheet, click the first number starting below the "SIS Login ID" heading. Then, click and drag until all values starting with "MIL" are selected.

  2. Copy the values highlighed.
    1. Windows: right-click and choose "Copy". Alternatively, press CTRL-C on your keyboard.
    2. Mac: long-click and choose "Copy". Alternatively, press Command+C on your keyboard.
  3. In the D2L import template, click the cell with the text "Canvas SIS Login ID".

  4. Paste the previously copied values.

    1. Windows: right-click and choose "Paste". Alternatively, press CTRL-V on your keyboard.
    2. Mac: long-click and choose "Paste". Alternatively, press Command-V on your keyboard.
  5. In the Canvas export spreadsheet, click the first number starting below the "Final Score (read only)" headaing. Then, click and drag until all values are selected.

  6. Copy the values highlighted.
  7. In the D2L import template, click the cell with the text "Final Score".
  8. Paste the previously copied values.

Part 2C: Fix ID numbers

Without this step, ID numbers starting with a zero will be corrupted, and the import to D2L will fail.

  1. Right click (Windows) or long click (Mac) the column A heading. Then, click Format Cells.

  2. On the Number tab, click the Custom option.
  3. In the "Type" field, enter seven zeroes: "0000000".

  4. Click the OK button.

Part 2D: Strip out Canvas-specific information

Next you need to strip out Canvas-generated information.

  1. Press CTRL-F (Windows) or Command-F (Mac) to open the "Find and Replace" window.
  2. Click the Replace tab
  3. In the "Find what" field, enter "MIL".
  4. Leave the "Replace with" field blank. Do not enter a space.

  5. Click the "Replace All" button.
  6. Click the "OK" button to close the alert box.
  7. Click the "Close" button to close the "Find and Replace" window.

Part 2E: Fill in extra fields

  1. In the D2L import template, click the cell with the text "Max Percentage or Max Points" (under Adjust Final Grade Denominator).

    What you enter next will depend on how you set up your gradebook in Canvas.

    1. Is your Canvas final grade a percentage? Enter 100.
    2. Is your Canvas final grade a point value? Enter the maximum number of points possible for a student to earn.
  2. Click and drag the lower right corner of the cell down until all rows are highlighted. Then release. The value will automatically fill all cells.

  3. After you have added the Adjusted Final Grade Denominator you need to add the End-of-Line Indicator”. First, click the first cell under the "End-of-Line Indicator" heading.
  4. Click and drag the lower right corner of the cell down until all rows are highlighted. Then release. The value will automatically fill all cells.

With final grades imported into D2L, create a grade scheme (Step 1), apply the scheme to final grades (Step 2), then export letter grades from D2L (Step 4). DO NOT PERFORM STEP 3. View eGrading Step-by-Step Instructions.

Part 5: Accept Grades in PAWS

Login to PAWS, then follow the Registrar's Offices instructions on accepting grades in PAWS.
