Zoom - Microsoft 365 Outlook Calendar Integration
After connecting your account, Zoom can:
- Display upcoming Microsoft 365 calendar events in Zoom.
- Show upcoming meetings in the Zoom desktop application and Zoom web portal.
- Make Zoom meeting information available through your Outlook calendar.
- Recognize Zoom meeting links stored in calendar events.
Canvas users: Zoom meetings created through Canvas Zoom do not automatically appear in Outlook through Zoom's Microsoft 365 calendar integration. See Canvas Zoom Meetings below for a workaround.
Connect Your Microsoft 365 Account to Zoom
- Go to the UW System Zoom portal (wisconsin-edu.zoom.us).
- Sign in with your UWM credentials.
- Click your Profile, then select Settings.
- Go to Mail & Calendar, or search for Calendar and contacts integration.
- Select Configure Calendar and Contacts Service.
- Select Office 365 / Microsoft 365.
- Select the permissions you want Zoom to use:
Permission Options- Calendar:
- Read: Allows Zoom to view calendar events and display them within Zoom.
- Write: Allows Zoom to edit and delete calendar events from Zoom.
- Shared: Allows Zoom to access calendars you already have permission to use, including delegated and shared calendars.
- Contact:
- Read: Allows Zoom to view contacts within Zoom.
- Write: Allows Zoom to create contacts using supported Zoom features.
- Presence:
- Write: Allows Zoom to update your Microsoft 365 presence status based on your activity in Zoom.
- Calendar:
- Then, select Authorize.
- If prompted, sign in with your UWM Microsoft 365 account.
- Review and accept the requested permissions.
Important: After completing setup, you may need to sign out of the Zoom desktop application and sign in again in order to see the changes.
How Calendar and Contacts Integration Works
When you connect Zoom to Microsoft 365, Zoom receives permission to access the Microsoft 365 information you authorize.
Depending on the permissions you grant, Zoom can access calendar information, contact information, and shared calendars associated with your Microsoft 365 account.
You can return to Calendar and contacts integration at any time to change permissions or remove the connection.
Canvas Zoom Meetings
Zoom meetings created through Canvas Zoom do not automatically appear in Outlook through Zoom's Microsoft 365 calendar integration.
This occurs because the Canvas → Zoom → Outlook workflow does not currently complete the final step needed to add the meeting to Outlook.
If a Canvas-created Zoom meeting does not appear in Outlook, open the meeting in the UW System Zoom web portal and select Save. Re-saving the meeting from the Zoom web portal completes the Zoom → Outlook portion of the process and causes the meeting to appear in Outlook.
It is always best practice to verify that important meetings appear on your Outlook calendar before relying on calendar reminders.
Troubleshooting
If calendar integration is not working as expected, try the following:
- Sign out of the Zoom desktop application and sign in again.
- Make sure you are signing in to both Zoom and Microsoft 365 with the same UWM account.
- If a Microsoft 365 connection already exists, remove it and reconnect.
- Try connecting again using a private or incognito browser window.
- Try a different web browser.
- Complete multifactor authentication (MFA) if Microsoft prompts you during sign-in.
If the issue continues, contact the UWM Help Desk and include the exact error message, if available.
