Special Enrollment Process for AR-B (Access Ratings for Buildings)

This document provides information about Canvas course/section administration, user account creation and enrollment, and user support for a collaborative course, AR-B, offered by UW-Milwaukee, Columbia University, and University of New Mexico.

Course and Section Creation

  • UWM Center for Advancing Student Learning (formerly CETL) will create a single Canvas course shell in the UWM Continuing Education instance. A new course shell will be necessary for each academic year, once total enrollment approaches 1,000 people, or once changes to content are necessary.

  • UWM CASL will create a separate section within the same Canvas course for each cohort of enrollment. Student interaction will be restricted to their own section.

Enrollment Overview

  • All students will have accounts automatically created and enrolled through a collaborative process between course administrators from each institution and UWM CASL.

  • Instructors outside of UWM must create an account with UWM Canvas and be manually enrolled by course administrator.

  • Course administrator outside of UWM must create an account with UWM Canvas and be manually enrolled by a course administrator. How do I add users to a course?

Creating an Account for External Instructors

  1. Select Log in to Canvas for Other Users link at the bottom of the UWM Canvas page

  1. Select “Need a Canvas Account? Click Here, It’s Free!”

  1. Create an account

  1. Provide the course administrator with the email address that you used to create your account.

Student Enrollment Process

Excel workbook templates will be used to manage student enrollments.

  1. AR-B course administrators should contact UWM CASL one week prior to the next enrollment cohort to allow preparation.

  1. AR-B course administrators will enter student first name, student last name, and student university email address on the data tab of the workbook. Include the home university and section start date in the body of the email and send to cetl@uwm.edu

  1. UWM CASL will complete the rest of the workbook and process the information in UWM Canvas.

The accuracy of the data provided is important. Data should be collected after the start of the semester when enrollments have stabilized (no/few late additions or drops), but with enough time to run the files before coursework begins. UWM CASL needs a minimum of two business days to get the files processed in a rushed situation. There are two Excel template workbooks:

Non-UWM ARB [year] CSV Builder – Passwords

  • For use with all non- UW-Milwaukee sections

  • Will create new student accounts in UW-Milwaukee instance of Canvas

  • Student Canvas password will be emailed to the student

  • Will automatically enroll the student in the identified section

UWM ARB [year] CSV Builder – Enrollments Only

  • For use with UW- Milwaukee sections

  • Will not create new student accounts in Canvas

  • Will automatically enroll the student in the identified section

Support

Students should contact their university/AR-B course administrator first, then cetl@uwm.edu second.

AR-B Course administrators should contact cetl@uwm.edu.

Tips for non-UWM Students and Instructors

  • Do not use your phone or Canvas app. Tokens do not clear and it can be difficult to access a different Canvas instance.

  • Use an incognito window or browser that you do not normally use to access Canvas.

  • Clear your browser cache.

  • Be sure to use the Log in to Canvas for Other Users link at the bottom of the UWM Canvas page.
