Screen Recording Content Compliance Guidelines and Checklist

When recording screencasts for training or instructional purposes, never include or publish actual student or instructor data. This article outlines clear content guidelines, a pre-upload compliance checklist, and immediate response steps to help you ensure all screen recordings remain secure and compliant.

Prohibited Content in Videos and Screen Recordings

CETL strictly prohibits including any actual student information, employee personal data, or sensitive institutional data in videos recorded or edited using ScreenPal or other third-party tools.

Prohibited Items:

  • Real student names, photos, voices, or identifiers. 
  • Employee personal information not publicly available. 
  • Health or medical information (HIPAA-protected data).
  • Confidential business data or intellectual property not authorized for external storage.

Approved Content:

  • Test student data only. 
  • Generic, anonymized, or placeholder data.
  • Institutional public-facing materials.

Screen Recording Pre-Upload Compliance Checklist

When recording screencasts, use this checklist as a guide to ensure no sensitive or personal data is included before publishing screen recordings to third-party platforms such as Kaltura, ScreenPal, YouTube, etc.

  • Use only test student accounts or anonymized data.
  • Never record real student names, IDs, or faces. 
  • Blur or remove any incidental personal information before uploading. 
  • Review video carefully before upload.
  • Store only in designated, access-controlled team folders.

Procedure to Rapidly Remove Content Containing Sensitive Data

Immediately follow the steps below if you or another team member has accidentally published sensitive data to a third-party cloud platform such as Kaltura, ScreenPal, YouTube, etc.

  1. Immediate Takedown: Log into ScreenPal, Kaltura, etc., and remove the video from storage immediately.
  2. Internal Notification: Notify department head and Information Security immediately.
  3. Document Incident: Record details such as date, content, nature of data, steps taken to resolve.
  4. Team Meeting/Policy Review: Hold a team meeting to reinforce compliance steps.
